1. Who We Are
BrailleDocs (brailledocs.com) is operated by NewHaptics. BrailleDocs is a web-based braille translation tool designed for teachers of the visually impaired, braille transcribers, and braille professionals.
Our service is hosted on Amazon Web Services (AWS) infrastructure located in the United States.
2. What We Collect
Account Information
When you create an account, we collect your email address, display name, and a hashed version of your password. If you sign in through an OAuth provider (such as Google), we collect the provider-issued user identifier. We also collect your country and region via GeoIP lookup at the time of account creation.
Document Content
We process and store the files you upload, the braille translations we generate, and any corrections you make to translated output. This content is stored in association with your account so that you can retrieve it later.
Usage Data
We collect analytics events (such as page views, feature usage, and translation requests), session identifiers, and IP addresses. This data helps us understand how the service is used and identify areas for improvement.
Feedback
When you submit feedback through the application, we collect your name (if provided), your comments, your IP address, and the application version in use at the time of submission.
3. How We Use It
We use the information we collect to:
- Authenticate your identity and manage your account
- Save, retrieve, and manage your documents and translations
- Improve translation quality by analyzing user corrections
- Analyze aggregate usage patterns to improve the service
- Respond to feedback and support requests
Legal bases for processing (GDPR):
- Consent: Analytics cookies and optional data collection
- Contract: Account creation and document services (necessary to provide the service you requested)
- Legitimate interest: Security monitoring, service improvements, and fraud prevention
6. Where Data Is Stored
All data is stored on AWS Lightsail servers located in the United States.
Note for users in the European Union: By using BrailleDocs, your data is transferred to and processed in the United States. The United States may not provide the same level of data protection as your home country. By continuing to use the service, you consent to this transfer.
7. Data Retention
We retain your data for the following periods:

When data reaches the end of its retention period, it is permanently deleted from our systems.

- Rectify inaccurate or incomplete personal data
- Erase your personal data (“right to be forgotten”)

If you are a California resident, you have the right to:
- Know what personal information we collect and how it is used
- Delete your personal information
- Opt out of sale of personal information (not applicable — we do not sell personal data)

How to Exercise Your Rights
You can manage much of your data directly through your account settings. To make a formal privacy request, or if you need assistance, contact us at privacy@newhaptics.com. We will respond to verified requests within 30 days.
9. Children's Privacy
BrailleDocs is not directed at children under 13 years of age, in compliance with the Children's Online Privacy Protection Act (COPPA). For users in the European Union, the service is not directed at children under 16 years of age, in accordance with GDPR Article 8.
We do not knowingly collect personal information from children under these age thresholds. If we become aware that we have inadvertently collected personal data from a child below the applicable age, we will take steps to delete that information promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the “Last updated” date at the top of this page.
Registered users will be notified of material changes to this policy via the email address associated with their account. We encourage you to review this policy periodically.
